About Kelola
6 questionsWhat is Kelola?
Kelola is a point of sale and business management app for food and beverage businesses. Besides recording sales, it costs every menu item from its recipe, deducts ingredient stock with every sale, and builds your profit and loss reports automatically.
What kinds of businesses is Kelola for?
Coffee shops, cafes, restaurants, food stalls, bakeries, drink stands, small caterers, and other F&B businesses, from a single cart to several outlets. Shops selling ready made goods can use Ready Made products without building recipes.
Who builds Kelola?
Kelola is built by a team in Bekasi, West Java. Our full address and contacts are on the Contact page.
How is Kelola different from other POS apps?
Most POS apps stop at revenue. Kelola goes down to cost per serving, wasted ingredients, when to restock, and net profit. Recipes, COGS, and ingredient stock are included from the cheapest plan. See the Comparison page for details.
Do I need to install Kelola?
No. Kelola runs in the browser at app.kelola.pro, and can be added to the home screen of a phone, tablet, or computer like a regular app, without an app store. Every update applies instantly with no reinstall.
What language is the app in?
The app is entirely in Indonesian, including receipts, reports, and Excel exports.
Free Trial and Sign Up
6 questionsHow long is the free trial?
30 days, with no credit card and no charge. You choose the plan to try when signing up, and every feature of that plan is open during the trial.
How do I sign up?
Open app.kelola.pro/register, fill in your store name, your name, email, and password, then verify your email. Your store is ready right away.
Does the trial turn into a paid plan automatically?
No. Kelola does not store card details and never charges automatically. After 30 days the store is marked expired until you choose to subscribe.
What happens when the trial ends?
Access to the register and other menus is restricted, and the owner is taken to the renewal page. Store data is not deleted at that moment, and everything is usable again as soon as a subscription is active.
Can I switch plans during the trial?
Yes. Contact our team on WhatsApp to move your trial to another plan.
Why do I need to verify my email?
The owner's email receives daily reports, renewal reminders, payment receipts, and password recovery. Verification makes sure they reach the right person.
Plans and Pricing
8 questionsWhich plans are available?
Starter, Growth, and Enterprise. Starter covers the register, recipes, COGS, ingredient stock, promos, and data export. Growth adds customers and points, WhatsApp campaigns, QR Menu, purchase orders, attendance, payroll, deposits, and tabs. Enterprise adds financial reports, multiple outlets, the kitchen display, Reorder Center, and activity logs. See the Pricing page for the full matrix.
What are the staff, product, and outlet limits?
Starter: 1 outlet, 3 staff, 75 products. Growth: 1 outlet, 10 staff, 150 products. Enterprise: up to 5 outlets, unlimited staff and products. More than 5 outlets can be arranged with our team.
Is there a transaction limit?
No. Every plan records unlimited transactions.
Is the number of devices limited?
Only the number of staff accounts is limited, not devices. One account can sign in on a phone and a tablet at the same time.
Monthly or yearly billing, what's the difference?
Features are identical. The yearly plan costs the same as 10 months, so you get 12 months for the price of 10.
Can prices go up?
Prices may change and are always announced in advance on the Pricing page. A period you have already paid for keeps the price you paid; the new price applies from your next renewal.
Can I upgrade or downgrade?
Yes. Choose another plan when paying on the Subscription page. The new plan applies as soon as payment succeeds, and its duration is added to your remaining active period. When moving to a lower plan, features outside the new plan lock immediately and the remaining time on the old plan is not refunded.
Need a custom plan for many outlets?
Contact our team on WhatsApp. We can adjust outlet and staff limits for larger businesses.
Subscription Payment
10 questionsHow do I pay for a subscription?
Sign in as the store owner, open Subscription, pick a plan and duration (1 or 12 months), then press Pay. You are taken to the iPaymu payment page to complete it.
Which payment methods are accepted?
Every method offered on the iPaymu payment page, such as bank virtual account transfer, QRIS, and the other options shown there.
Who is iPaymu?
iPaymu is a Bank Indonesia licensed payment provider that processes Kelola subscription payments. Your card or account details are handled by iPaymu, not stored by Kelola.
When does my subscription activate after paying?
Automatically once iPaymu confirms the payment, usually within minutes. The new period is added to any remaining active time, so renewing early never loses days.
Paid but the subscription isn't active?
Wait a few minutes and reload the Subscription page. If it is still not active after 1 hour, send your payment proof to our WhatsApp or email and we will activate it manually.
How long do I have to pay?
As shown on the iPaymu payment page. If it lapses, start a new payment from the Subscription page; the expired invoice is never charged.
Does the subscription renew automatically?
No. We email the owner a reminder before the period ends, and you renew whenever you are ready.
Where is my payment receipt?
iPaymu emails a receipt to the address you enter when paying, and your payment history is listed on the Subscription page.
Can I pay by manual transfer?
Payments are made from the Subscription page. For special cases such as multi outlet plans, contact our team on WhatsApp.
Are there extra fees when paying?
Yes. Plan prices exclude iPaymu payment fees. The fee is added on the iPaymu payment page and depends on the method you choose, so you see the total before paying.
Refunds and Cancelling
6 questionsCan a subscription payment be refunded?
Only in specific cases: a double charge, a subscription that stays inactive after payment and that we cannot fix, or a charge larger than the plan price. Changing your mind or not using the app is not covered. See the Refund Policy for full details.
How long do I have to request a refund?
7 calendar days from the payment date. Requests after that are not processed.
Why use the free trial before paying?
Because an active payment is not refunded just because it wasn't a fit. Use the 30 day trial to make sure Kelola suits your business.
How do I cancel?
Simply don't renew. There is no automatic billing, so there is nothing to cancel. The store stays active until the end of the paid period.
How long is data kept after the subscription ends?
Expired store data is kept for at least 30 days. After that it may be permanently deleted without further notice. Export your data to Excel before leaving if you want to keep it.
Can I ask for my account and data to be deleted?
Yes. Send the request from the store owner's email to halo@kelola.pro. Deleted data cannot be recovered.
Register and Sales
10 questionsWhich payment methods can customers use at the register?
Cash, QRIS, card, customer deposit, and tabs. Deposits and tabs are available on Growth and up.
How does QRIS at the register work?
You upload your business's static QRIS, and Kelola shows a QR with the total already filled in. Money goes straight to your account with no cut from Kelola, and the cashier confirms once it arrives.
Does Kelola take a cut of my sales?
No. Kelola does not process your store's sales money. Every customer payment goes straight to your cash drawer or account.
Can I keep selling if the internet goes down?
Yes. The register keeps recording sales and checking ingredient stock offline, then syncs everything once you're back online. Deposit and tab payments need a connection.
Are open bills and split bills supported?
Yes. Bills can be held per table, moved, added to, and split for guests paying separately.
Can I give a discount at the register?
Yes, with Cashier Discount in rupiah or percent per order. Owners and managers can discount freely, while the cashier limit is set by the owner in POS Settings.
What about tax and service charges?
Tax, PBJT, and service charges are set in POS Settings and calculated automatically on every sale and printed on the receipt.
Can I refund or void a sale?
Yes, partly or fully. Stock, sales totals, promo usage, points, and customer tabs are rolled back.
What is a cashier shift?
Cashiers open a shift with the drawer float and close it with a physical count. Cash differences show immediately, and a daily report is emailed to the owner.
Do GoFood, GrabFood, and ShopeeFood orders come in automatically?
Not yet. Cashiers enter them manually through Order Channels, which keep their own price list and commission rate per platform so net profit stays accurate.
Products, Recipes, and Stock
7 questionsDoes every product need a recipe?
No. Prepared items use recipes so COGS and ingredient stock are tracked. Items sold as they are, like bottled water or crackers, can be Ready Made products with their own cost and stock.
How is COGS calculated?
From the per serving recipe: package price divided by its contents, times the amount used, plus extras such as cups and straws. When ingredient prices change, COGS and margins update.
Are variants and add-ons supported?
Yes. Sizes such as regular and large are variants with their own price and recipe. Toppings, sugar levels, and extra shots are created once and reused across products.
How is ingredient stock reduced?
Automatically with every sale, following the recipe. Waste, purchases, stock counts, and adjustments are all logged in Stock Movements.
Is there a low stock alert?
Yes. You set a minimum for each ingredient and Kelola flags it when stock falls below. Enterprise also has Reorder Center, which suggests how much to buy.
Can I import products and ingredients from Excel?
Yes. Ingredients, customers, recipes, and products can be imported from the Indonesian Excel templates in the app.
Is stock counting supported?
Yes, on every plan. Count ingredients physically, compare with the records, and the difference is logged as an adjustment.
Customers and Marketing
6 questionsAre points and membership available?
Yes, on Growth and up. You set the point rules and membership tiers, and points can be redeemed as a discount at the register.
What is a customer deposit?
Customers prepay and spend it with each purchase. The top up is recorded as money held, not revenue, so reports never count the same money twice.
What are customer tabs?
Regular customers buy now and pay later. The owner turns it on in POS Settings, every tab and payment is recorded, and total receivables show on the Customers page.
How are WhatsApp campaigns sent?
Through your own WhatsApp number connected with a Fonnte token. Messages can be segmented, scheduled, or recurring. Fonnte fees are paid directly to Fonnte.
What is QR Menu?
A menu page customers open from the table by scanning a QR, with no app to install. Orders go to the register and kitchen. Available on Growth and up.
Are promos and vouchers available?
Yes, on every plan: percentage or fixed discounts, buy X get Y, minimum spend, coupon codes, and usage limits.
Devices and Printers
5 questionsWhat devices do I need?
A phone, tablet, or computer with a modern browser such as Chrome. No special hardware is required.
Which printers are supported?
ESC/POS thermal printers, 58 mm or 80 mm, over Bluetooth, USB, or LAN. A separate kitchen printer can print order checkers.
Can receipts be sent by WhatsApp or email?
Yes. Digital receipts can be sent to the customer's WhatsApp or email, with or without a printed one.
Are there customer and kitchen displays?
Yes. The Customer Display (Growth and up) and Kitchen Display (Enterprise) run on a TV, tablet, or old phone using a pairing code, with no special hardware.
Does Kelola sell hardware?
Yes, we offer tested bundles of tablets, stands, thermal printers, and cash drawers. See the Hardware page or ask on WhatsApp.
Team and Access
4 questionsWhich roles are available?
Owner, Manager, and Cashier. Each role only sees the menus for its job.
Can cashiers see my profit?
No. Expenses and financial reports are owner only. Those menus don't appear for cashiers at all.
How do I add staff?
The owner invites staff from the Staff menu. Staff receive an invite link, set a password, and can sign in right away.
Is there attendance and payroll?
Yes, on Growth and up. Staff clock in with a photo and location, shifts are scheduled weekly, and pay is calculated from attendance.
Reports and Data
4 questionsWhich reports are available?
Every plan has sales summaries, best sellers, transaction history, and stock movements. Enterprise adds profit and loss, cash flow, break even, menu analysis, and promo effectiveness.
Can I export data?
Yes, to Excel and PDF, anytime, on every plan.
Can I monitor several outlets?
Yes, on Enterprise. Prices, menus, and opening hours can differ per outlet, and stock can be transferred between outlets.
Who owns the data in Kelola?
All transaction, product, recipe, stock, and customer data belongs to the store owner. Kelola only provides the service that stores it.
Security and Privacy
5 questionsWhere is my data stored?
On Google's cloud (Firebase) with servers in Singapore, and every connection is encrypted.
Can other stores see my data?
No. Every store is isolated, and server side access rules reject requests from outside that store.
Does Kelola store card details?
No. Subscription payments are processed by iPaymu, and Kelola only receives whether they succeeded.
Forgot your password?
Press Forgot password on the sign in page and follow the link sent to your email.
How does Kelola use personal data?
Only to run the service, as described in the Privacy Policy. We never sell user data or your customers' data.

How long does setup take?
On average under 15 minutes, from sign up and adding products and ingredients to the first sale.
